Understand the request

Numra monitors the shared billing inbox and reads the email conversation, attachments and available references. It identifies whether the message is a new invoicing request, a copy-invoice request, a PO query, a chaser or a dispute - and takes the appropriate action.

Assemble the billing information

For new invoices, Numra brings together the customer and legal entity, project or order details, the relevant billing-schedule line, products and prices, the customer PO and remaining value, previously invoiced amounts, currency and tax treatment, payment terms and supporting documents.

Apply the billing rules

Numra checks whether the correct customer entity is being billed, whether a PO is required and agrees, whether the amount matches the current billing schedule, whether lines should be consolidated and which GL code, tax treatment and approval route apply.

Review the proposed invoice

The reviewer sees the extracted information and finished invoice preview beside the original request and supporting evidence. They can correct a field, resolve an exception, add missing information or reject the request.

Collect approval

Route the invoice to the appropriate commercial owner, project lead or finance approver. The approver receives the invoice details and supporting information. Reminders and escalations can be applied when approval is delayed.

Create and deliver the invoice

Once approved, Numra creates the invoice in the existing ERP, accounting or billing system and delivers it to the customer using the correct contact details and format.

Keep the workload visible

The AR team works from a single view of requests awaiting validation, invoices awaiting approval, open billing queries, chasers, delivered invoices and failed items - with ownership and processing history available throughout.
