Refresh the collections position
Numra reads the open customer and invoice information from the existing ERP, accounting platform or industry ledger - including open invoices and credit notes, invoice and due dates, outstanding values, payment terms, ageing, payments and allocations, credit limits and customer contacts.
Prioritise the work
Numra uses the current ledger position and configured credit policy to identify what should happen next - showing outstanding and overdue balances, ageing by period, largest overdue accounts, customers approaching credit limits, accounts on credit hold, open promises to pay and overdue tasks.
Run the agreed collections cadence
Send scheduled statements and payment reminders from the agreed collections mailbox. The cadence controls when statements are issued, when chasing begins, how many reminders are sent, the timing between messages, templates and merge fields, suppression rules and the point at which escalation is created.
Recognise customer replies
Numra monitors the collections mailbox and connects incoming replies to the correct customer and invoice records. It can identify promises to pay, payment confirmations, invoice queries, missing or incorrect POs, out-of-office responses and messages requiring manual review.
Manage the account
The customer card gives the controller one working view containing the current balance and overdue amount, ageing position, payment terms, credit limit, latest customer response, account-level notes, promises to pay, open tasks and outstanding invoices.
Track promises to pay
Record the promised payment date and any supporting note. Numra creates a follow-up for the agreed check date and keeps the promise visible on the customer account. The payment is confirmed through the ledger rather than marked manually.
Manage queries and disputes
When a customer raises a query or dispute, Numra connects it to the relevant invoice and records the query type, date raised, original and disputed values, customer explanation, internal owner, notes, follow-up date and current status.
Control credit risk and escalation
Numra identifies customers approaching or exceeding their credit limits and creates the appropriate review task. Credit-control workflows can include credit-hold reviews, no-response tasks, formal notice generation and management escalation - all requiring human approval before formal action.
