Customer master management

Create one reliable customer record across every system.

Commercial creates a customer record and uploads the information received during the sales process. Numra extracts the relevant details and identifies what is still missing. Once the record is complete, Numra retrieves the relevant credit information and sends the proposed credit limit and payment terms to Finance for approval. After approval, Numra creates the required accounts across the relevant systems.

How It Works

A controlled workflow from start to finish.

1

Create the customer record

Commercial starts the customer record once the business is ready to proceed with setup. Information can be entered directly, brought in from a CRM or extracted from documents and emails already collected during the commercial process.

2

Collect the required information

Numra brings the customer's master data and supporting documents into one record - including legal and trading names, registration and tax information, billing and delivery addresses, contacts, bank and payment information, expected trading value, price lists, requested payment terms and credit limits.

3

Check completeness and accuracy

Numra checks the record before it is submitted. Required fields, documents and approvals can be configured for different customer categories. Missing or inconsistent information is flagged and returned to the responsible person.

4

Review credit and commercial terms

Numra can retrieve information from approved credit and reference-data providers. Finance receives the customer information, supporting documents, expected trading value and available credit data together - reviewing the recommended credit limit, approved limit, standard terms, requested terms and risk notes.

5

Approve the customer

The completed record is routed through the appropriate approval process. Standard customers can follow a simple Finance approval. Higher-risk customers or non-standard terms can be sent to Treasury, senior Finance or another designated reviewer.

6

Create the customer across your systems

After approval, Numra creates or coordinates the customer records required across your existing systems. Different sites and legal entities can follow different setup routes. The workflow tracks the status of every required destination.

7

Maintain the customer record

Customer information continues to change after setup. Numra routes proposed changes - in legal name, invoice address, bank information, payment terms or credit limit - for the required review and updates the affected systems once approved.

Systems & Integrations

Works with the systems your team already uses.

The Numra Platform connects the information, tools and systems involved in the customer management workflow - without requiring your team to replace its existing core software.

Model-agnostic by design

We choose the best AI model for each workflow based on performance, cost and data sensitivity - not the other way around.

Configured around your workflows

Every deployment is configured around the systems, data, rules and workflows your team already uses.

AI assistants where they work

ChatGPT, Claude and Gemini are excellent for individual tasks. We use them where they are the right fit and build workflow software when the work needs more.

Workflow software where it matters

When work needs integrations, business rules, approvals and auditability, the Numra Platform configures production software around the workflow.

For this workflow, that typically includes: CRM and sales platforms, ERP and accounting systems, Credit and reference-data providers, Order-management platforms, Operational and fulfilment systems, Customer portals, Document-storage platforms, Email and shared inboxes, Approval and task-management tools.

Benefits

What changes when the workflow is in place.

Create the customer once

Information is captured once and reused across approvals and system setup, reducing repeated data entry.

Keep customer information consistent

Approved customer data is distributed to the systems and teams that need it, reducing differences between records.

Prevent incomplete records

Required-field and document checks stop partial customer setups from progressing.

Apply credit policy consistently

Credit limits, payment terms and exceptions follow a controlled approval process before becoming part of the active customer record.

Control customer changes

Updates to important customer information are reviewed, approved and recorded rather than being changed informally in separate systems.

Retain a complete history

Every submission, approval, change and system update is recorded against the customer.

The Outcome

Commercial, Finance and operational teams work from the same approved customer information. New customers are created correctly across the required systems. Credit limits and payment terms are properly approved. Changes are controlled and synchronised. Management can see the status of every customer record without relying on spreadsheets, email chains or individual knowledge. The result is a reliable customer record that supports every downstream process without trying to replace the systems you already use.
